The Administrative Assistant provides administrative and organizational support to the Director of Accounting and Finance. This role works closely with the accounting team and other internal departments to help ensure smooth day-to-day operations, timely completion of tasks, and efficient department workflow.
Duties and Responsibilities
- Provide general administrative support to the accounting team and assist with special projects.
- Coordinate and schedule meetings, appointments, and staff meetings.
- Maintain department calendars and assist with scheduling for managers.
- Sort, distribute, and manage incoming and outgoing mail.
- Make check deposits online or in person at the bank.
- Assist with updating checklists and completing tasks related to the accounting close cycle.
- Assist with submitting and tracking expense reports.
- Prepare, review, and distribute reports, documents, presentations, and other materials as requested.
- Perform data entry and maintain accurate records, files, and databases.
- Answer and direct emails in a timely and professional manner.
- Follow up on department and project-related tasks to help meet deadlines and maintain workflow efficiency.
- Assist with organizing department office events.
- Conduct research and compile information or data for management as needed.
- Perform other duties and projects assigned in support of department goals.
Qualifications
- 1–3 years of administrative or office support experience preferred.
- Strong organizational and time-management skills with the ability to manage multiple tasks and priorities.
- Strong attention to detail and accuracy.
- Professional written and verbal communication skills.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently while also collaborating effectively with the Accounting team and other departments.
- Strong follow-up skills and the ability to meet deadlines.
- Comfortable working with spreadsheets, data entry, electronic files, and office systems.
- Professional, dependable, and positive attitude.
- Ability to adapt to changing priorities and assist with additional projects as needed.
