Department: Academics

Reports To: Director of Curriculum and Instruction

Classification: 10-month- School-year

Hours: Variable hours; 5 days per week; 40 hours per week August- May (ends with teachers); 5-10 (as needed) hours per week in June and July. Nights and weekend hours may be required

Evaluated: Semi-annually


General Description of Duties and Responsibilities

The Substitute Teacher Coordinator plays a critical role in ensuring smooth and effective classroom coverage by managing the substitute teacher program for preplanned and last-minute absences. This position requires close collaboration with the Human Resources (HR) team for onboarding and offboarding, training substitutes, scheduling, and responding to daily requests from faculty. The ideal candidate will be highly organized, proactive, and able to communicate effectively with various stakeholders across the institution. They must maintain flexible work hours to meet the demands of the role and may be required to step in as a substitute for administrative staff as needed. The Substitute Coordinator is a full-time, school-year employee with opportunity for per diem in June and July and who reports directly to the Director of Curriculum and Instruction.



Key Responsibilities

Substitute Recruitment and Coordination

Recruit, onboard, and maintain a reliable pool of qualified substitute teachers.

Schedule and assign daily, short-term, and long-term classroom coverage.

Communicate assignments and expectations clearly to substitutes.

Remain accessible for same-day or emergency coverage needs.

Substitute Oversight

Provide day-to-day supervision, guidance, and support for substitute teachers.

Monitor attendance, reliability, and classroom performance.

Address routine concerns and escalate issues to academic leadership or HR as needed.

Foster effective communication and retention within the substitute pool.

Classroom Substitution (As Needed)

Serve as a classroom substitute during last-minute or emergency absences.

Follow lesson plans and school procedures to maintain instructional continuity.

Communicate classroom notes or concerns to leadership after coverage.

Records, Training, and Compliance

Maintain accurate records of substitute credentials, availability, assignments, and feedback.

Support onboarding and training of substitute teachers in partnership with HR.

Track teacher absences and ensure proper documentation.

Prepare and submit substitute payroll documentation accurately and on time.

Operational Support

Prepare and submit hours for certification in the form of MIP and VPP.

Assist with teacher certification audits and communication.

Assist with operational functions such as front desk, copy room, and attendance coverage as needed.

Support special projects as assigned by the Director of Curriculum and Instruction.

Qualifications

Strong organizational, communication, and interpersonal skills.

Ability to manage multiple priorities and respond to urgent staffing needs.

Experience working with K–12 students, teachers, or school operations preferred.

Ability to serve as a classroom substitute when needed.

Collaborative and flexible, with a proactive approach to problem-solving

Must be able to work occasional nights and weekends

Spiritual

Must have a clear testimony of personal faith in Jesus Christ as Savior

Required: High School Diploma
