Position Summary
The Volunteer & Internship Coordinator is responsible for recruiting, training, and engaging volunteers and interns to support the Cox Science Center and Aquarium’s mission: to inspire, engage, and educate guests through an immersive journey that empowers them to embrace the promise of science. This position oversees up to 200 volunteers annually and collaborates with staff to develop new volunteer projects, corporate partnerships, and sustainable program growth. The ideal candidate is highly organized, creative, and passionate about volunteer engagement and science education.
Essential Duties and Responsibilities
Volunteer & Internship Program Management
- Coordinate a successful volunteer and internship program, ensuring alignment with organizational goals.
- Provide oversight and support for departmental programs, including Aquarium operations and special events.
- Maintain an updated volunteer database in Volgistics for reporting, audits, and program tracking.
- Prepare volunteer hour reports, sign-offs, and impact documentation.
- Create and maintain volunteer position schedules and calendars.
Recruitment, Training & Engagement
- Promote volunteer opportunities through e-blasts, recruitment events, and online postings in coordination with Community Engagement and Marketing teams.
- Ensure staff, volunteers, and interns receive proper orientation and training for their roles.
- Develop and coordinate recognition, incentive, and appreciation programs for volunteers and interns, including an annual volunteer appreciation event.
- Collaborate with external organizations and businesses on volunteer-related projects.
Teamwork & Communication
- Foster a positive, inclusive, and collaborative environment for volunteers, interns, and staff.
- Maintain clear communication regarding volunteer roles, schedules, and organizational initiatives.
- Assist with setup and coordination of departmental programs and special events as needed.
- Perform other duties as assigned to support the Community Engagement Department.
Qualifications
- High school diploma required; some college education preferred.
- Passion for the Cox Science Center and Aquarium’s mission.
- Previous experience coordinating volunteers preferred.
- Strong multi-tasking, organizational, and creative problem-solving skills.
- Ability to work with individuals of diverse ages and skill levels in a team environment.
- Effective verbal, written, and visual communication skills.
- Proficient in spreadsheets, CRM software, and data reporting platforms.
Work Environment & Expectations
- Must be able to interact with guests, staff, volunteers, and interns in various settings.
- Must be able to lift at least 50 lbs comfortably during volunteer and event coordination.
- May involve standing, walking, or other physical activity related to program support and events.
Commitment
- Part Time, non-exempt position.
- Regular schedule may include evenings, weekends, and occasional special events.
