Responsibilities

The Property Administrator supports the Property manager in overseeing the daily operations, tenant relations, financial administration, and overall performance of the property. This role is responsible for helping ensure the property is maintained to the highest operational and customer service standards.

The ideal candidate is organized, proactive, service-oriented, and capable of managing multiple priorities in a fast-paced commercial property environment.

Job Scope

Tenant Relations & Customer Service

  • Serve as a primary point of contact for tenant requests and day-to-day communications
  • Coordinate tenant correspondence, notices, building updates, and service requests
  • Support tenant engagement initiatives and property events

Property Operations

  • Assist in overseeing daily building operations to ensure the property is maintained to Class A standards
  • Conduct routine inspections of common areas, tenant spaces, parking areas, and building systems
  • Coordinate vendor access and monitor completion of maintenance and repair work
  • Track preventative maintenance schedules and operational follow-up items
  • Assist in access controls for both building and parking garage

Vendor & Contract Coordination

  • Assist in the coordination of vendor scheduling, proposals, service contracts, and insurance compliance
  • Assist with bid solicitation and vendor comparison processes
  • Monitor vendor performance and ensure quality service delivery
  • Maintain organized vendor and contract files
  • Assist in uploading new vendors into accounting systems

Financial & Administrative Support

  • Assist with invoice processing, coding, and accounts payable review
  • Support the monthly reporting processes
  • Maintain organized property records, lease files, and operational documentation
  • Support tenant billing coordination and CAM-related tracking as needed

Lease Administration Support

  • Track critical lease dates including renewals, expirations, insurance requirements, and notices

Project & Building Improvement Coordination

  • Coordinate scheduling, tenant communication, and vendor access related to property work

Compliance & Safety

  • Assist in maintaining compliance with property safety requirements and operational procedures
  • Coordinate inspections, fire/life safety testing, and vendor certifications- Including tracking all COI’s
  • Help maintain emergency preparedness documentation and incident records

Qualifications

Qualifications

  • 2+ years of commercial property management experience preferred
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office and property management systems
  • Understanding of building operations, vendor coordination, and tenant relations
  • Ability to work independently while managing multiple priorities
