Related Ross is seeking a polished, energetic and professional Sales & Contract Coordinator for a prestigious new development sales gallery situated in Palm Beach, Florida. The position offers an exciting opportunity to work on one of our new residential real estate development projects. This position must be performed in-person within an office setting.
Administrative & Office Management
- Serve as the primary front-facing receptionist for the main office, welcoming visitors and ensuring a professional first impression.
- Manage phone lines, project inbox, and direct inquiries to sales associates.
- Open/close the sales showroom and ensure reception areas are presentable.
- Create and distribute reports, schedules, contact lists, and other project/company documents.
- Order and maintain office and pantry supplies.
- Perform additional duties as assigned while fostering a positive, team-oriented environment.
Sales Operations & Support
- Schedule and manage sales appointments, confirmations, registrations, and co-brokerage agreements.
- Maintain CRM/CMS systems (e.g., Salesforce, Property Platform) to update listings, track sales activity, manage prospects, and generate reports.
- Support sales associates with client interactions, presentations, tours, and administrative needs.
- Assist with sales events including planning, RSVPs, guest check-in, system updates, and event setup/cleanup.
- Liaise with the Property Platform team for troubleshooting and updates.
Contract Management
- Draft, review, and negotiate contracts to ensure compliance with company policies and legal requirements.
- Monitor agreements, deadlines, renewals, and amendments.
- Coordinate with internal teams and legal counsel to gather information, resolve issues, and address complex matters.
- Maintain accurate records, ensure proper execution and storage, and support audits.
- Communicate contract status and updates to stakeholders.
Qualifications
Bachelor’s degree in Business Administration, Law, or related field; equivalent work experience considered.
2–3 years of experience in contract administration, legal, or corporate environment.
Florida Real Estate Sales License preferred but not required
Proficiency in Microsoft Office Suite required.
Familiarity with MLS, Builder CMS and/or CRM systems preferred.
Strong verbal and written communication skills; able to interact effectively with stakeholders at all levels.
Highly detail-oriented with a focus on accuracy, discretion, and confidentiality.
Strong organizational skills with the ability to multi-task, prioritize, and adapt to changing business needs.
Proactive mindset with ability to take ownership and anticipate tasks.
Schedule
Punctual time and attendance; 9:00am-6:00pm Monday through Friday, potentially weekends as needed**
