About this role

Responsible for providing leadership and management to the Student Financial Aid Department for a multi-campus institution. Administers federal, state and institutional aid programs in compliance with federal and state laws, regulations, and industry standards. Establishes and implements department policies and procedures; corroborates with other college departments to formulate appropriate internal controls and procedures. Maintains up-to-date knowledge of proposed and current legislation, and informs Senior Management of all changes that may impact financial aid programs and student enrollment. Prepares and submits all required institutional applications and reports for federal, state and local financial aid programs. Collaborates in the development and maintenance of the financial aid data base system and website, including provision of consumer information for prospective and new students. Monitors and prepares the department’s annual operating and scholarship budgets, and expends funds in accordance with college policies. Supervises, coaches and develops district financial aid staff. Responsible for training, SAP appeals, policy and procedure compliance, and move personnel based on needs of campus-based financial aid staff.

What a day of a Financial Aid Executive Director looks like:

  • Guides, leads, reviews, verifies, observes, and manages the work of people reporting directly to you.

  • Plans, directs, and controls the work of people who do not report directly to you, but who provide support to the goals and objectives of your organization.

  • Monitors and evaluates the performance of your employees.

  • Participates in various meetings and committees.

  • Develops policy recommendations for consideration and adoption.

  • Develops, maintains, interprets, and executes administrative procedures and practices. This activity includes developing and maintaining manuals regarding policies, procedures, rules, and standards for the College.

  • Develops policies and practices for scholarships and state financial aid for the College.

  • Evaluates and ensures procedures for compliance with federal state, local institutional laws and regulations.

  • Administers award criteria.

  • Monitors accuracy of financial aid accounts.

  • Assists students with issues utilizing a variety of formats such as in person, phone, email, and online chat.

  • Evaluates and monitors Satisfactory Academic Progress (SAP).

  • Manages federal, state, and institutional financial aid funds.

  • Researches, interprets and adheres to compliance requirements.

  • Submits and verifies information to answer audit questions.

  • Drafts response on more complex correspondence under own signature. Informs supervisor of action taken.

  • Responds to complex inquiries from all levels of employees or external sources regarding a variety of questions, such as clarification of College or Campus policy and procedures.

  • Conducts all tasks related to the preparation of the annual and other periodic budgets for a department, campus, or college.

  • Attends workshops, seminars or conferences to sharpen job related skills. Maintains on-going knowledge of policies, procedures, laws and ordinances, benefits, and union agreements.

  • Participates in consortium activities representing the interest of the College. Involves attending meetings, developing system specifications, programs and procedures.

  • Resolves system errors or failures. Involves identifying system problems and implementing corrective actions. Problems addressed include hardware, software, and procedures.

  • Develops mid-range plans to deal with specific circumstances including goals, objectives, priorities and recommendations.

  • Participates in and manages all phases of a project from concept to system implementation and user training.

  • Performs other job-related duties as assigned.

Education and Experience:

  • Bachelor’s degree

  • Four years of related experience, including supervisory experience

  • Higher education administration

Knowledge of:

  • Financial Aid rules and regulations

  • Microsoft Office Professional or similar application

Skilled in:

  • Creative thinking and problem-solving to explore new technology, processes, and approaches

  • Seeking opportunities for continuous improvement

  • Written and oral communication techniques sufficient to develop and deliver presentations and summaries of quantitative insights to non-quantitative audiences. Prepare correspondence, foster understanding and acceptance of findings, present arguments and advisory opinions, and coordinate activities among diverse stakeholders

  • Attention to detail while maintaining effective time and task management
