Scholarships Coordinator

SUMMARY

In support of the university’s mission and objectives, the Scholarships Coordinator supports the administration of institutional, departmental, and external scholarships to promote access and affordability for students. This role helps ensure compliance with federal, state, and university regulations while accurately assessing eligibility, posting awards, and reconciling funds. The coordinator collaborates with students and campus partners to support enrollment and retention goals through effective communication and thoughtful stewardship of scholarship resources.

Scholarship Operations

  • Administers and reconciles institutional, external, and departmental scholarships in accordance with compliance standards.
  • Coordinates the Universal Scholarship Application process, including collaborating with campus stakeholders and identifying eligible students for review and awarding.
  • Oversees the development and delivery of scholarship-related communications and notifications to students.
  • Posts, revises, and returns scholarship funds using PowerFAIDS, Jenzabar, or comparable financial aid systems.
  • Provides knowledgeable guidance to students, families, faculty, and staff regarding financial aid eligibility and scholarship options.
  • Maintains accurate records, reconciles scholarship funds, and generates reports detailing scholarship usage and outcomes.
  • Contributes to the development of policies and procedures to improve service quality, compliance, and operational efficiency.
  • Engages in ongoing professional development to remain informed on current federal and state financial aid regulations and best practices.

Data Management

  • Ensures adherence to federal, state, and institutional regulations.
  • Maintains accurate and confidential financial aid records.
  • Participates in audits and internal reviews to support data integrity and regulatory compliance.
  • Evaluates and tracks student eligibility based on federal, state, and institutional regulations, as well as cost of attendance.
  • Identifies and resolves data discrepancies, over-awards, and enrollment-based adjustments.
  • Engages in professional development by reviewing publications, articles, and handbooks to support continuous improvement in scholarship awarding.

Communication

  • Serves as a liaison between Financial Aid and departments such as Admissions, Advancement, Business, and Finance, and external scholarship donors
  • Coordinates with Admissions, Student Accounts, and the Registrar’s office to support efficient, student-centered services that promote enrollment and retention.
  • Represents the department on committees or in meetings, as assigned.
  • Provides appropriate and accurate information to all prospective and continuing students and/or parents regarding educational costs, availability of financial aid resources, program eligibility, and the financial aid application process.
  • Provides initial outreach and follow-up communication through various channels.
  • Other duties as assigned.

Qualifications

EDUCATION:

Bachelor’s degree in accounting, finance, business, or related field, required.

EXPERIENCE:

1+ years of experience in financial aid, business, or related field, required. Aptitude for learning financial aid scholarship procedures, regulations, and practices required.
