Department Assistant - Private Wealth, Wills, Trusts & Estates
Jones Foster is seeking a Department Assistant to join the firm’s Private Wealth, Wills, Trusts & Estates team in our West Palm Beach office. The Department Assistant will provide administrative support to multiple attorneys, paralegals, and legal assistants in a high-volume practice environment. This role supports the practice group through a variety of specialized administrative and clerical tasks, while working collaboratively in a team-oriented environment. The position also requires providing backup administrative support to other team members as needed.
This position follows a standard office schedule of 8:30 a.m. to 5:30 p.m., Monday through Friday, with occasional additional hours required. Regular in-office attendance is required.
As a Department Assistant at Jones Foster, here is what you will do:
- Maintain pleading indexes
- Backup for reception/switchboard
- Meet and greet clients
- Process mail
- Organize documents, bank statements, invoices, tax forms, briefs, and appendices
- Recommend administrative processes for more efficient workflow
- Manage, organize, and maintain paper and electronic files in compliance with firm policies utilizing the firm’s document management system
- Ready willingness to own and accept responsibilities
- Act as a witness/notary for client signings

- Proficient in multifunction word processing software including Microsoft Office Suites (Word, Excel, Outlook, PowerPoint, and PDF programs) or related software.
- High School Diploma or equivalent
- Notary for the State of Florida a plus
