Administrative Assistant/Receptionist

Gunster seeks a highly motivated, organized, and professional individual to act as the first point of contact for our clients and provide essential administrative support to our real estate practice group in its West Palm Beach office.
This dual role splits time between managing the front desk reception and assisting the real estate practice group with transactional tasks. You will ensure a warm, professional environment for clients while supporting attorneys with file management, closing documents, and daily clerical duties.
Key responsibilities for Reception (50%): handle incoming telephone calls, greeting all guests and notifying attorneys and staff of arrivals, scheduling conference room space, coordination of catering orders, and represent Gunster pleasantly and professionally. Responsibilities for Real Estate Admin (50%): prepare, scan, and organize closing binders, purchase agreements, and deeds. Assist with client intake, opening/closing files, and data entry into case management software.
Qualifications include 1–3 years of experience in a law firm or professional office environment, real estate experience is a strong plus but not required. Proficiency in Microsoft Office Suite and exceptional client service, communication, and multitasking skills required.
