Join our Technology Team as a Technical Project Manager located in our Warsaw Center of Excellence office (remote).

This role reports to the Director of Enterprise Project Management Office and requires availability to work in the afternoons (3:00 p.m. to 11:00 p.m.)

Key Responsibilities:

1. Project Planning & Execution

  • Define project objectives, scope, schedule, and budget in partnership with project sponsors.

  • Establish project charter, critical success factors, and comprehensive project plans.

  • Lead and direct geographically dispersed project resources, ensuring effective collaboration and communication.

2. Stakeholder Management

  • Serve as a strategic partner and key point of contact for stakeholders, including the Executive team.

  • Communicate project status, risks, and issues to leadership, translating challenges into actionable plans.

  • Facilitate stakeholder meetings, training sessions, and team engagements.

3. Technical Implementation & Process Improvement

  • Coordinate the planning, assessment, and delivery of technology systems, AI tools, and process improvement initiatives.

  • Collaborate with IT, data, and legal operations teams to identify and implement automation and AI-driven efficiencies.

  • Analyze data to develop process flow charts and recommend operational improvements.

4 Vendor & Resource Management

  • Serve as liaison between vendors and internal project teams, ensuring timely delivery and effective collaboration.

  • Coordinate and facilitate review and sign-off on all project deliverables.

5. Change Management

  • Apply sound change management methodologies, including barrier analysis, mitigation planning, training needs assessment, and communication strategy.

  • Coordinate systems testing, installation, training, and ongoing support.

6. Monitoring & Reporting

  • Establish metrics and reporting mechanisms to evaluate project effectiveness, impact, and ROI.

  • Manage project tasks, timeline, expenses, and budget to ensure schedule adherence.

  • Define and execute corrective actions to maintain or regain project timelines as needed.

  • Escalate issues promptly and appropriately.

7. Additional Critical Components:

  • Risk management: Proactively identify, assess, and mitigate project risks.

  • Quality assurance: Ensure project deliverables meet established standards and requirements.

  • Continuous improvement: Seek opportunities to optimize project management processes and tools.

Qualifications

Skills & Competencies

  • Extensive experience leading through all phases of the project lifecycle (initiation through closure).

  • Experience managing multiple project types, including feasibility studies, opportunity assessments, business case development, RFP/Vendor Selection, Custom In-house Builds, process improvements, etc.

  • Proven ability to assess business challenges and translate them into actionable plans, including defining next steps, developing action and mitigation plans, and creating preliminary workplans.

  • Skilled in translating business requirements into technology solutions, including evaluating, selecting, and deploying technology platforms and AI tools.

  • Strong analytical skills with the ability to interpret data, measure results, and optimize technology and AI project outcomes.

  • Successful track record managing multiple projects simultaneously, including technology system projects such as AI, cloud implementations, and enterprise software deployments.

  • Experienced in change management, particularly in digital transformation and AI adoption initiatives.

  • Demonstrated ability to build, lead, and integrate diverse teams and third-party resources into cohesive and effective project teams.

  • Effective communicator with experience presenting complex concepts to senior management and staff, exercising influence across all levels of an organization.

  • Self-motivated and adaptable, with flexibility to adjust project management approach based on project and cultural requirements.

  • Comfortable with ambiguity and rapid technological change, with the ability to quickly learn and adapt to new platforms and methodologies.

  • Proactive in risk assessment, identification of potential challenges, and collaborative problem-solving to ensure informed decision-making and effective mitigation of unforeseen issues.

  • Strong attention to detail and resourcefulness in resolving problems before they impact project outcomes.

  • Able to work independently or as part of a cross-functional team, collaborating with individuals at all levels and abilities.

  • Are confident using English (C1/C2) to engage clearly and appropriately with stakeholders at all levels across the organization.

  • Advanced proficiency in Microsoft Excel, PowerPoint, Visio, and Project.

  • Solid understanding of AI concepts (machine learning, natural language processing, automation) as applied in professional services.

  • Deep knowledge of application programming, database and system design, internet/intranet/extranet, cloud and client-server architectures, and information governance and security concepts.

  • Availability to work in the afternoons (3:00 p.m. to 11:00 p.m.)

Education & Prior Experience

  • At least 5 years overall project management responsibility – client-facing management consulting or law firm experience a major plus

  • Project Management Professional Certification preferred

  • Prior experience working in a PMO (Project Management Office)
