Position Summary:

The College of Medicine at Florida Atlantic University is seeking an Associate Director of Admissions in Boca Raton, FL.


Under the direction of the Director of Admissions, the Associate Director of Admissions provides strategic and operational leadership for recruitment, admissions, and outreach initiatives that advance the College of Medicine’s enrollment goals. The role oversees core admissions functions, leads data systems, reporting, and analytics to inform executive decision-making, and ensures efficient, compliant operations. As the primary operational lead for Banner admissions workflows, residency classification for tuition purposes, and applicant data integrity, the Associate Director coordinates closely with university partners and provides oversight of the MedOwl Ambassadors program and student work-study staff supporting admissions operations.



Admissions Leadership and Strategy

  • Assist the Director of Admissions in formulating, directing, and coordinating admissions, outreach, marketing, and communication strategies to promote College of Medicine programs and support enrollment goals.
  • Play a lead role in the development, implementation, and assessment of a comprehensive admissions and recruitment plan.
  • Evaluate phases of the admissions process, including recruitment, faculty onboarding, interview programming, and admission decisions, and identify opportunities for improvement, innovation, and operational efficiency.
  • Oversee the review and analysis of applicant qualifications using established admissions standards, guidelines, and criteria.
  • Partner with the Director of Admissions to support enrollment forecasting, market analysis, and strategic planning efforts.
  • Gather information on competitors, market conditions, and recruitment trends and provide recommendations to leadership regarding competitive activities, emerging opportunities, and potential new markets.
  • Assist in the development and implementation of admissions policies, procedures, and operational workflows to support compliance, consistency, and service excellence.
  • Support the coordination and execution of admissions events, interview days, accepted student programming, pipeline initiatives, and recruitment activities.
  • Collaborate with faculty, staff, students, and university stakeholders to support strategic enrollment initiatives and student engagement efforts.

Admissions Operations, Systems, and Data Management

  • Serve as the operational lead for all admissions-related Banner processes, including applicant record management, admissions coding, residency classification coordination, and student data integrity.
  • Oversee residency classification and residency for tuition purposes processes in collaboration with university partners to ensure compliance with institutional, state, and regulatory requirements.
  • Monitor and maintain admissions databases, reporting systems, and operational tools to ensure accuracy, efficiency, and data integrity.
  • Develop and maintain reports, dashboards, and analytics using systems such as Banner, Excel, and other institutional technologies to support strategic decision-making and operational assessment.
  • Analyze admissions and recruitment data to identify trends, measure outcomes, and recommend process improvements.
  • Coordinate with institutional departments including the Registrar, Financial Aid, Information Technology, and Institutional Research to support admissions operations and student onboarding processes.
  • Ensure timely processing and reconciliation of admissions-related data and communications across systems.
  • Assist in managing admissions operational timelines, reporting deadlines, and compliance-related activities.

Student Leadership and Staff Supervision

  • Provide oversight and leadership for the MedOwl Ambassadors program, including recruitment, selection, training, scheduling, evaluation, and ongoing development of student ambassadors.
  • Coordinate ambassador participation in interview days, tours, outreach events, admitted student programs, and recruitment initiatives.
  • Supervise admissions student assistants and work-study employees, including hiring, onboarding, scheduling, training, task management, and performance monitoring.
  • Foster a collaborative, professional, and student-centered culture within the Office of Admissions.
  • Assist in the development of training materials, onboarding resources, and operational guides for staff and student team members.

Collaboration and Communication

  • Represent the Office of Admissions at institutional meetings, recruitment events, conferences, and outreach activities as assigned.
  • Build and maintain positive working relationships with internal and external stakeholders, including faculty, staff, students, applicants, alumni, and community partners, while responding with professionalism, accuracy, and excellent customer service.
  • Assist with special projects, strategic initiatives, and other job-related duties as assigned by the Director of Admissions.

Minimum Qualifications:

Master's degree in an appropriate area of specialization and four years of appropriate experience; or a bachelor's degree in an appropriate area of specialization and six years of appropriate experience.


Demonstrated knowledge of medical school admissions processes, applicant evaluation, recruitment strategies, and enrollment management practices required.

Experience working with admissions technologies and student information systems, preferably Banner and/or medical school admissions platforms required.

Strong analytical and data management skills, including experience with reporting tools, dashboards, Excel, and/or other tools required.

Demonstrated ability to manage multiple priorities, deadlines, and operational processes in a fast-paced environment required.

Strong interpersonal, organizational, communication, and problem-solving skills.
Ability to work collaboratively with faculty, staff, students, and university leadership required.

Ability to exercise sound judgment, maintain confidentiality, and handle sensitive applicant and student information appropriately.

Demonstrated commitment to professionalism, customer service, and student-centered practices.


Preferred Qualifications:

Master’s degree from an accredited institution in Higher Education, Educational Leadership, Business Administration, Public Administration, Counseling, Student Affairs, Healthcare Administration, or a related field.

Three plus (3+) years of progressive admissions experience within a medical school, health professions program, or higher education admissions environment.

Knowledge of AAMC policies, AMCAS processes, and medical school admissions best practices.

Experience supervising staff, student employees, ambassadors, interns, or work-study personnel.

Experience managing or supporting residency classification and residency for tuition purposes processes.

Salary:

$75,000 - $80,000
