Position Summary:

The College of Arts and Letters at Florida Atlantic University is seeking an Art & Museums Collections Coordinator in Boca Raton, FL.

Under the supervision of the University Galleries Director, and in alignment with University Art Committee policies, the Art & Museums Collections Coordinator serves as steward of Florida Atlantic University’s historic and cultural collections. This position is essential to advancing FAU’s mission by ensuring the preservation, documentation, and activation of the University’s collections as catalysts for research, pedagogy, and community engagement.

The position plays a role in advancing FAU’s institutional goals by implementing professional museum standards aligned with American Alliance of Museums (AAM) Core Standards and best practices in registration, documentation, and risk management.

The Art & Museums Collections Coordinator will directly support FAU’s strategic pillars. Through research, this role ensures collections are properly documented, digitized, and made available for faculty and student inquiry. This role aids student success by embedding experiential learning in collections care, digital humanities, and interdisciplinary scholarship.

The Art & Museums Collections Coordinator will boost community engagement by preserving and ethically interpreting cultural assets that are accessible to the wider public. This role will reflect institutional resilience by establishing professional collections stewardship practices that mitigate risk, ensure compliance with accreditation standards, and secure donor confidence.

Summary of Responsibilities:

  • Advance toward American Association of Museum accreditation readiness.

  • Serve as a regional leader in digital collection access.

  • Attract external funding by demonstrating capacity for responsible collections care.

  • Sustain and grow FAU’s reputation as a forward-thinking, research-intensive institution

  • Oversee the documentation, cataloging, and preventive care of objects d’art, historical artifacts, and teaching collections.

  • Maintain and update the University’s collections management system (Artwork Archive and/or successor platforms).

  • Continues and expands the Collections Digitization and Inventory initiatives, including metadata repair efforts, ensuring accuracy, accessibility, and long-term sustainability across all holdings.

  • Facilitate faculty and student research by coordinating access to collection materials for study, exhibition, and publication.

  • Supervise, train, and mentor student assistants and interns in object handling, data entry, digital scholarship, and museum best practices.

  • Assist with incoming and outgoing loans, condition reporting, and exhibition installations involving collection objects.

  • Support donor stewardship, provenance research, and documentation of new acquisitions in compliance with FAU and Foundation policies.

  • Enhanced FAU’s visibility and community impact through marketing collections.

  • Collaborate with campus units to integrate collections into coursework, interdisciplinary projects, and public programming.

  • Prepare reports, maintain inventories, and ensure compliance with insurance, audit, and risk management requirements.

  • Assist and support the University Galleries Director in all other collections-related tasks.

  • Perform other job-related duties as assigned.

Minimum Qualifications:

Master's degree from an accredited institution; or a Bachelor’s degree from an accredited institution in Art or Art studies and two years of experience required.

Art or Art Studies degrees: Museum Studies, Art History, Library Science, Archives, Liberal Arts, Visual Arts, Design or any of the Humanities, Public History, History, Anthropology.

Valid driver license and the ability to drive.

Ability to lift or pull up to 50 pounds.


Preferred Qualifications/Skills:
Experience with Microsoft products such as Word, Excel, Teams.

Knowledge of museum registration, cataloging, and documentation practices aligned with American
Alliance of Museums (AAM) standards.

Familiarity with Artwork Archive or other collections management software platforms.

Understanding of preventive conservation, object handling, and environmental monitoring principles.

Strong organizational skills with exceptional attention to accuracy and detail; demonstrated ability to manage multiple projects, prioritize competing deadlines, and work effectively under pressure while maintaining professionalism.

Excellent written and verbal communication skills, strong interpersonal skills, and the ability to respond effectively to internal and external inquiries with a high level of customer service.

Ability to work collaboratively with faculty, students, administrators, and external stakeholders, including the ability to supervise and train student assistants.

Strong problem-solving skills, sound professional judgment, and the ability to adapt to changing priorities and institutional needs in a dynamic academic environment.

Commitment to ethical stewardship, provenance research, inclusive interpretation of cultural assets, and service excellence with student-centered support.

Experience with Adobe Creative Suite products such as Photoshop and demonstrated ability to design, update, and maintain website content.

Grant-writing experience or demonstrated ability to support grant development.

Salary:

$50,000 - $55,000 Annually.
