Position Summary:

The Center for Online and Continuing Education at Florida Atlantic University seeks a highly organized, detail-focused, and tech-savvy Assistant Project Coordinator for an on-campus role based in Boca Raton, with occasional travel to partner campuses.

The Assistant Project Coordinator supports a variety of evolving and complex workflows that require working within dynamic processes and adapting to changing operational needs. The role involves regularly learning new systems, tools, and approaches as part of daily tasks.

The Assistant Project Coordinator will support the coordination of multiple projects simultaneously, often at different stages, while receiving new requests daily. You will manage tasks by estimating timelines, meeting deadlines, and communicating workload status. The role includes maintaining continuity on assigned tasks and ensuring follow-through as projects progress.

The Assistant Project Coordinator supports task tracking and prioritization, documents clear notes, communicates updates with colleagues and stakeholders, and uses various software and digital tools to support project coordination.

Summary of Responsibilities:

  • Support Strategic Initiatives: Assist leadership with day-to-day operational coordination, department-level projects, meetings, and presentations by preparing materials, tracking progress, and assisting with timely execution.

  • Support Inter-Campus Needs: Assist with project-related activities at other campus locations when required, such as coordinating materials, supporting events, or facilitating communication.

  • Problem-Solve Proactively: Tackle challenges with thoughtful, independent problem-solving. Resourcefulness and the ability to adapt to evolving priorities are essential for day-to-day success.

  • Create and Maintain Reports: Collect, compile, and summarize data using Wrike project management and CRM platforms. Prepare digital reports and dashboards that support decision-making.

  • Maintain Project & Operational Documentation: Maintain documentation such as staff rosters/phone trees, department training, update dashboards, and support follow-through on deliverables across multiple concurrent projects.

  • Coordinate Communication: Draft clear written communications, provide verbal updates, send team reminders, take meeting notes, and relay project statuses to stakeholders.

  • Support Events: Assist with training and onboarding logistics, schedule and support meetings, webinars, and events— including logistics, technical setup, follow-up, and coordination of supplies/materials needed for successful delivery.

  • Support Technology Use: Use web conferencing and collaboration tools with confidence. Assist in developing training materials and/or provide informal training as needed.

  • Collaborate Across Teams: Work closely with internal staff and cross-functional teams to complete tasks, share information, and support broader departmental efforts.

  • Support Recruitment and Onboarding Efforts: Support the administrative aspects of recruitment and onboarding in partnership with hiring managers and HR (e.g., scheduling interviews, organizing documentation, coordinating communications)

  • Other Job- Related Duties as Assigned: Take on additional tasks and projects aligned with evolving departmental priorities.

Minimum Qualifications:

Bachelor’s degree from an accredited institution in an appropriate area of specialization or higher and two years of experience required.

Preferred Skills and Qualifications

At least two years of experience in project coordination, operations, or administrative support.

Exceptional attention to detail and strong organizational skills

Clear, professional written and verbal communication

Ability to manage multiple tasks and deadlines with consistent follow-through

Strong problem-solving skills and adaptability in a fast-paced environment

High proficiency in Microsoft Office (Word, Outlook, PowerPoint, Excel)

Demonstrated customer service skills and a growth mindset
