Position Summary:
The Center for Online and Continuing Education at Florida Atlantic University is seeking an Operations Specialist - Boca Raton, FL.

As an Operations Specialist, you will be at the center of our department’s success. You will:
Support Operations Leadership – Partner with the Director of Operations to manage the department’s day-to-day functions.
Lead and Organize – Run departmental meetings, coordinate projects, and oversee events to keep our team connected and on track.
Be the Go-To for People & Processes – Manage timekeeping by sending reminders, tracking payroll deadlines, and running compliance reports. Oversee contracts, office supplies, and staff rosters (including the department phone tree) to keep operations running smoothly.
Champion Preparedness – Maintain and update our emergency preparedness plans (UCOOP and UERP), to keep our staff safe and informed.
Drive Training & Development – Coordinate safety refresher training, professional development, team-building activities, and speaker sessions to help staff grow and thrive.
Recruitment & Hiring – Serve as a hands-on partner in recruitment by using Workday to screen candidates, bundle resumes, and support hiring managers with interview questions, selection criteria, and documentation. Manage communications with applicants, schedule interviews (virtual, in-person, and assessments), and track weekly recruitment progress. Assist with offer letter preparation, hiring reviews, and final candidate processing in Workday.
Onboard New Hires – Ensure new employees have a smooth start by coordinating departmental onboarding, including time entry training and operational orientation.
Keep Us Organized – Create and maintain recruitment documentation, interview materials, and candidate folders. Provide leadership with regular updates on progress and outcomes.
Adapt and Contribute – Take on additional projects and responsibilities as assigned to support the evolving needs of the department.

Minimum Qualifications:
Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.Preferred Qualifications and Certifications:
Experience with Workday or similar systems
