Job Description Summary

The key responsibilities of the Executive - Accounts & Administration, ensuring smooth site-level financial operations, administrative coordination, documentation management, and compliance with organizational and client requirements. To provide effective support in managing day-to-day accounts, administration, vendor coordination, and documentation activities at the site level in line with company and client policies.

About the Role:
1. Assist in preparation and verification of vendor bills and site-related expense vouchers.

2. Maintain records of consumables, utilities, and petty cash transactions as per finance guidelines.

3. Coordinate with vendors for invoice submissions and supporting documentation.

4. Maintain attendance records, leave data, and coordinate with HR for payroll processing.

5. Ensure all compliance documents, insurance, and statutory records are updated and filed systematically.

6. Support the Property Manager and Accounts team in preparing client billing data and expense summaries.

7. Manage site-level administrative requirements including stationery, logistics, and housekeeping support documentation.

8. Assist during audits by providing required documents and records in coordination with the central compliance team.

9. Maintain registers for agreements, licenses, and insurance renewals.

Accounts Support

• Prepare and verify site expense statements
• Support invoice and billing data compilation
• Maintain petty cash and expense tracker

• Timely submission of site accounts data
• Zero deviation in expense reporting

Vendor Coordination

• Verify vendor documentation before forwarding for approval
• Maintain vendor records and service performance data

• Timely processing of vendor bills
• Up-to-date vendor file records

Administrative Management

• Maintain office supplies, logistics, and housekeeping consumables records
• Coordinate with site teams for documentation and reporting needs

• No disruption in administrative support
• Inventory records updated weekly

Compliance & Documentation

• Maintain statutory, insurance, and contract records
• Support in submission of audit-related documentation

• 100% document availability during audit
• No pending compliance renewals

• Maintain attendance and leave tracker
• Share data with HR within timeline for salary processing

• Payroll inputs submitted within defined TAT
• Accurate attendance records

• Accurate site-level accounting and documentation support.

• Timely submission of financial and compliance data to the central team.

• Effective vendor coordination and record management.

• Smooth administrative functioning and support to site operations.

• On-time and error-free HR and attendance coordination.

About You:
 Graduate
Minimum Experience – 4+ Years
 Experience within the Facility industry
 Strong written and oral communication skills
 High attention to detail and the ability to operate in a fast-paced environment
