Special Projects Coordinator

Summary Objective
The Special Projects Coordinator provides high-level administrative and project management support to the Development Services Department. The position is responsible for planning, organizing, and managing unique, often time-sensitive initiatives, including coordinating cross-functional teams, monitoring budgets, preparing reports, and ensuring timely and successful completion of departmental projects. The incumbent serves as a liaison among internal departments, external agencies, and stakeholders to advance departmental and City objectives.
This position operates independently under limited supervision, reporting major activities and project progress through regular updates and meetings.Job Duties and Responsibilities

- Plans, coordinates, and manages the implementation of special projects and initiatives, which may include process improvement efforts, software implementations, grant-funded programs, and technology or equipment acquisitions.
- Develops project plans including timelines, deliverables, resource needs, and performance metrics; monitors project progress and ensures milestones are met.
- Conducts research and data analysis on financial, technical, and operational issues to support informed decision-making; compiles data into reports, presentations, or summaries for City leadership and other agencies.
- Prepares and edits correspondence, reports, contracts, and other documentation with accuracy, clarity, and compliance with City policies and regulations.
- Responds to inquiries and requests for information requiring the interpretation of policies, procedures, and departmental operations; exercises judgment, discretion, and professionalism when addressing issues or complaints.
- Coordinates purchasing activities related to assigned projects, including preparing requisitions, quotes, and purchase orders in compliance with City procurement policies.
- Establishes and maintains databases and tracking systems to monitor project status, outcomes, and key metrics; generates management and progress reports as required.
- Serves as departmental liaison with other City departments, outside agencies, vendors, and consultants to facilitate communication and project collaboration.
- Supervises and directs assigned administrative or contract staff as required; provides training, evaluates performance, and implements corrective actions as needed.
- Prepares and delivers presentations to departmental leadership, City management, and external stakeholders regarding project updates, recommendations, and results.
- Performs other related duties as assigned.
Minimum Requirements

Minimum Qualifications:
- Bachelor’s degree in Public Administration, Business Administration, Urban Planning, or a related field.
- Minimum of two (2) years of progressively responsible administrative or project coordination experience; or an equivalent combination of education, training, and experience.
- Must possess and maintain a valid Florida Driver’s License.
Experience in a municipal or governmental environment and/or information technology or development services is highly desirable. Supplemental Information

Knowledge, Skills, and Abilities
- Strong knowledge of project management principles, including planning, budgeting, scheduling, and reporting.
- Ability to analyze data, prepare detailed reports, and make sound recommendations.
- Proficient in Microsoft Office Suite and project management software.
- Excellent verbal and written communication skills, with the ability to prepare and present professional documents and reports.
- Strong organizational and time management abilities; able to manage multiple priorities under tight deadlines.
- Ability to work independently and exercise sound judgment in decision-making.
- Knowledge of local government operations, procurement procedures, and administrative practices.
Physical Ability: Work involves frequent sitting, standing, and walking. The employee must occasionally lift and/or move objects up to 50 pounds. Requires use of standard office equipment such as computers, phones, copiers, and printers.
Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds, and visual cues or signals. Some tasks require the ability to communicate orally.
Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
